The Role: The Center of Reproductive Rights seeks a skilled Operations Associate based in the Bogota office. The candidate should be able to assist management for the Bogota office and LAC Team and to have experience handling accountant processes, handling petty cash, agenda management, suppliers' management, travel arrangements, IT support, maintenance activities, and Safety and Health at work Management System (preferred with a course of 50 hours in SG-SST).

The Operations Associate should be able to provide polite and professional assistance, be a helpful, positive presence in the workplace and be willing to meet each challenge directly and with a genuine desire to meet the needs of others.

The Operations Associate provides administrative and operative support to managers, other employees, and office visitors as needed by LAC Teams; handling various tasks ensures that all interactions between the organization and others are positive and efficient. The Operations Associate will report to Office Manager.

The position will be based in Bogotá, where our regional office is established.


Primary Responsibilities:

Office Operations

  • Assisting the Office Manager with Bogota office administration and finances process.
  • Serve as the IT point person for the Bogota office: communicate with the IT department and helpdesk support based in New York regarding IT issues, equipment purchases, and requests, oversee a local IT consultant, and coordinate with the IT Operations Manager in New York as needed.
  • Assist to Office Manager with compliance requirements.
  • Support the Office Manager in supervising administrative interns or Sena apprentices.
  • Assist with organizing and maintaining the Latin-American Program SharePoint, and Bogota office site, uploading required information on time.
  • Support drafting of consultant and vendor contracts as needed.
  • Prepare documents, forms, and presentations as needed.
  • Assist in legal requirements as needed.
  • Coordinate shipments and delivery as needed (national and international).
  • Reception of guests and attention to their requirements.
  • Reception of the Center correspondence and delivery to the corresponding owner.
  • Assist in backing up office services functions (mailroom, purchase of kitchen and office supplies, copying and distributing documents, conference room scheduling, help desk, filing, etc.)
  • Supplier attendance, request for quotation, registration documents, receipt of goods or services.
  • Assist in the supervision of maintenance activities.
  • Translate documents Spanish-English & English – Spanish as needed.
  • Support with scans, copies, and printings as needed.

Finance

  • Receive and review invoices related to office expenses and LAC program operations.
  • Preparation of Payment Request Form as needed.
  • Assist with organizing/ maintaining operations and finance documents.
  • Support procurement process as needed.
  • Handling and custody of the petty cash and the monthly form reconciliation.
  • Assist with internal and external audits.

Facilities Management

  • Manage the office's inventory for assets.
  • Purchasing office supplies, cleaning materials, and kitchen supplies.
  • Organize the office storage room.
  • Keep the asset and IT inventory updated in the tool designed for this process.

Safety

  • Responsible for supporting the implementation of the Health and Safety System mandatory under the lead of the Office Manager, in compliance with Colombian laws and keeping it updated based on laws changes or new regulations applicable to Bogota's office.
  • Keep updated the Safety and Health at work management system documentation in the local SharePoint.

Travel

  • Making travel arrangements for the LAC team and guests when requested.
  • Support event logistics when needed.
  • Preparation of travel advances and travel expenses report for LAC Team.
  • Preparation and submission of credit card expenses through Concur for Associate Directors for LAC
  • Coordination of ground transportation services when requested.
  • Schedule and coordinate staff and other meetings as needed.
  • Keep in order the physical administrative archive.

Qualifications:

  • Bachelor's degree required in Business Administration/ Industrial Engineering/Management/ Executive Assistant/other related.
  • +2 years of experience in an administrative position.
  • Commitment to reproductive rights and women's human rights issues.
  • Fluency in Spanish and English (speaking, reading, writing)
  • Proficiency with Microsoft Office (Microsoft Word, Excel, Outlook, and SharePoint) and the Internet.
  • Excellent interpersonal, organizational, and communication (oral and writing) skills.
  • Initiative: Effectively responds to pressure or crisis situations and acts professionally, uses resources well, and follows through on ideas, assignments, and open issues. Must possess a "can-do" and "will-do" attitude.
  • Energy Level: High energy level and enthusiasm for the position.

Compensation:

The Center offers a competitive salary commensurate with experience and a comprehensive benefits program.

The salary for this position is $COL 60.500.000 annually. This salary is reflective of a position based in Bogotá, Colombia. This salary will be subject to a locality adjustment if authorization is granted to work outside the location listed in this posting. Most of the salaries listed on our job postings reflect New York, NY salaries, where our National offices are headquartered.
